Job Objective The Executive Assistant's primary objective is to provide comprehensive administrative support to senior management, ensuring efficiency in agenda management, project coordination, and internal and external communication. This role aims to optimize the executives' time and resources, facilitate strategic decision-making, ensure deadlines are met, and handle confidential information with professionalism. Additionally, the Executive Assistant contributes to the company's success by implementing effective organizational processes and maintaining smooth relationships with clients, suppliers, and internal teams.
Executive Assistant Responsibilities Administrative and Agenda Management Manage senior management's agenda,
coordinating meetings, events, and commitments efficiently. Oversee and prioritize emails, calls, and correspondence, ensuring timely responses. Prepare reports, presentations, and documents required for strategic meetings.
Organize corporate travel, including itineraries, reservations, and expense tracking. Project Coordination Collaborate in the planning and execution of strategic projects assigned by senior management. Monitor the progress of key tasks and coordinate with involved teams to ensure deadlines are met.
Provide administrative support during project meetings, including minute-taking and task follow-up. Internal and External Communication Act as the liaison between executives, internal teams, and external partners. Draft, review, and send corporate communications on behalf of senior management.
Foster smooth relationships with clients, suppliers, and other stakeholders. Confidential Information Management Ensure proper organization, filing, and security of sensitive documents. Handle strategic information with discretion, ensuring the required confidentiality.
Organizational Process Optimization Propose and implement improvements in administrative processes to maximize productivity. Oversee inventory and purchase office supplies necessary for senior management. Job Requirements Education Bachelors degree in Business Administration, Communication, Public Relations, or related fields.
Experience At least 3 years of prior experience in executive or high-level administrative assistant roles. Proven experience managing complex agendas and coordinating projects. Technical Skills Advanced proficiency in office tools (Microsoft Office, Google Workspace).
Knowledge of planning and tracking tools (Trello, Asana, or similar). Competence in drafting corporate communications. Languages Native Spanish.
Advanced English (C1) for communication with international clients and suppliers.
Soft Skills Excellent verbal and written communication skills. Strong organizational and time-management abilities.
Proactive, with the ability to anticipate senior management needs. Discretion and professionalism in handling confidential information. Ability to work under pressure and prioritize tasks effectively.
