This is a remote position. Position: Executive Assistant (English Speaking) Location: Remote Schedule: Monday – Friday, 8:00 am to 4:00 pm EST Compensation: Competitive hourly rate ($15 - $20 per hour, depending on experience) Reports to: COO Position Summary Are you the kind of person who takes action before being asked? If so, we want you. We are seeking a highly driven and detail-oriented Executive Assistant to work alongside our Chief Operating Officer (COO). This role is far more than scheduling meetings and handling emails—you will own operational processes, track critical tasks, manage vendor relationships,
and drive projects forward in a high-growth, high-stakes environment.
This role is ideal for a self-starter who thrives under pressure, solves problems before they arise, and stays organized even when juggling 15+ tasks at a time. You’ll need to be resourceful, highly efficient, and capable of working independently while ensuring seamless team collaboration. Key Responsibilities Executive & Administrative Support Provide high-level administrative assistance to the COO, including calendar management, scheduling meetings, and handling correspondence .
Act as a liaison between the COO and internal/external stakeholders , coordinating and ensuring smooth communication. Stay five steps ahead —anticipate needs and proactively handle issues before they escalate. Prepare reports, presentations, and summaries that drive executive decision-making.
Maintain strict confidentiality and professionalism in handling sensitive company matters Operations & Project Management Assist in overseeing operational processes , identifying inefficiencies, and implementing improvements.
Manage special projects from inception to completion, tracking progress and ensuring timely delivery. Act as a central point of coordination for teams, ensuring seamless collaboration across departments.
Support financial operations, including budgeting, expense tracking, and reporting. Maintain operational records, databases, and documentation to support business continuity. Human Resources & Compliance Support Support HR functions , including onboarding, policy implementation, and compliance tracking .
Assist in maintaining HR records and documentation , ensuring accuracy, confidentiality and alignment with company policies. Facilitate training coordination and employee engagement initiatives as needed. Vendor & Procurement Coordination Manage vendor relations, contract negotiations, and procurement processes to ensure cost-effectiveness and efficiency.
Track vendor performance, agreements, and renewals to maximize cost-effectiveness. Ensure timely processing of invoices, approvals, and expense management. Requirements 3+ years of experience as an Executive Assistant, Operations Coordinator, or a similar role.
Strong organizational and time management skills , with the ability to handle multiple priorities and follow through flawlessly. Excellent written and verbal communication skills. You convey information with clarity and confidence.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools. Experience with financial reporting, budgeting, or expense tracking is a plus. Strong problem-solving and critical-thinking skills , with the ability to anticipate needs and take initiative.

Candidates with US-market experience are preferred. Benefits Work Environment & Schedule This is a full-time position that is 100% remote and based on company needs. Occasional evening or weekend availability may be required for urgent operational matters.
