The Job
Our client is looking for a proactive and innovative Executive Assistant / Operations Manager to support our CEO and executive team. This role is more than just calendar management; we need a strategic partner who can think creatively, manage staff effectively, and align with the organization’s vision. The ideal candidate will have experience in executive support, particularly in reporting, KPIs, and project integration.
Key Responsibilities :
1. Executive Support :
- Provide comprehensive administrative support, including calendar management, meeting scheduling,
and correspondence handling.
- Assist in growth initiatives aimed at expanding the company in 2025, supporting strategic projects to drive market share and revenue.
- Contribute to goal setting and planning sessions that align with the company’s growth objectives.
- Capable of managing a high-volume workload and thriving in a dynamic, fast-paced environment.
- Coordinate travel arrangements, accommodations, and itineraries for executives.
- Prepare and distribute meeting agendas, presentations, and other materials.
- Oversee payroll processes, ensuring timely and accurate payment for all employees.
- Collaborate with the admin team to maintain streamlined administrative operations.
2. Organizational Management, Team Collaboration & Coordination :
- Maintain and organize important documents and records in both physical and digital formats.
- Enhance organizational systems to improve efficiency and productivity in the office.
- Assist in planning and executing company events, meetings, and conferences.
- Work closely with various teams, including Marketing, Transactional,
Admin, and ISA (Inside Sales Agents), to ensure seamless operations and alignment on goals.
- Coordinate deliverables across departments, ensuring each team is meeting deadlines and targets.
- Generate and analyze reports that capture key metrics and performance across departments.
- Provide insights into the effectiveness of deliverables, identifying areas for improvement and supporting data-driven decision-making.
- Support integration efforts across systems and tools, fostering collaboration and operational efficiency.
- Identify and implement new tools and solutions that facilitate departmental workflows and data sharing.
3. Real Estate Support :
- Manage or monitor real estate transactions, including property listings, contracts, and agreements.
- Coordinate property showings and open houses,
ensuring smooth logistics and exceptional customer service.
- Liaise with clients, real estate agents, and stakeholders to facilitate communication and resolve inquiries.
4. Communication and Liaison :
- Act as the primary point of contact for internal and external inquiries directed to the executive team.
- Ensure effective communication with team members, clients, partners, and vendors.
- Foster collaboration between executives and various departments within the organization.
5. Special Projects :
- Support executives with ad-hoc projects, research tasks, and strategic initiatives.
- Conduct market research, gather data, and prepare reports to aid in decision-making.
- Handle sensitive information with confidentiality and discretion.
The Profile
Qualifications :
- Bachelor’s degree in Business Administration, Real Estate,
or a related field preferred.
- Proven experience as an executive assistant and operations manager working directly with CEOs, ideally within the real estate sector.
- Strong organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills with a professional demeanor.
- Proficient in Microsoft Office Suite and relevant software applications.
- Familiarity with real estate terminology and processes is a plus.
- Ability to maintain confidentiality, exercise sound judgment, and adapt to changing priorities.
- High integrity, reliability, and commitment to delivering high-quality work.
